Artist Portals

The artist portal is a secure, personalised dashboard where your artists can view their royalty statements, check their recoupment balance, and manage invoices and documents — without contacting you directly.

What is the artist portal?

Each artist with portal access gets their own login to an artist-facing interface. They can only see their own data — statements generated for them, invoices linked to their account, and POs addressed to them. The portal replaces manually emailing PDF attachments for every statement cycle.

Inviting artists

To give an artist portal access, go to Artists and Freelancersin the Host Tools sidebar, open the artist's record, and use the invite option. The artist receives an email with a link to set up their password and access their portal.

You can also invite an artist directly from the Track Splitsview using the contributor invite button. Portal access can be revoked at any time from the artist's record.

Artists must have an email address on file before you can send them an invitation. If an artist does not yet have an account, the invitation email creates their Artist account automatically.

What artists can see

Once logged in, an artist can:

  • View their statements — all finalised statements, with the full breakdown of tracks, royalty amounts, split percentages, and net payable. Draft statements are not visible until they are finalised.
  • Download statement PDFs — at any time, including historical statements.
  • Check recoupment balance — outstanding advance or cost balance and how much has been recouped so far.
  • View and submit invoices — see invoices sent to them and submit new invoice requests for the Host to approve.
  • View POs — review purchase orders issued to them.
  • View split sheets — see the split percentages on their tracks.

Portal branding

The artist portal shows your label's name and logo (set in Label Settings) rather than RosterRoyalties' branding. On Enterprise plans, the full portal can be customised with your own colours, domain, and email sender. See the White Label guide for details.
