Invoice Tracking

The Invoices page shows all invoices you have created or received, with summary tiles for total pending, total paid, and the current invoiceable balance from your processed statements.

Invoice views

Invoices are split into three tabs:

  • Drafts — invoices you have created but not yet sent
  • Sent Invoices — invoices you have sent to a recipient
  • Received Invoices — invoices sent to you by another party

You can search by invoice number, recipient name, or sender name, and filter by status. Use the Export button to download the current filtered list as a CSV.

Invoice statuses

StatusMeaning
DraftCreated but not yet sent to the recipient
SentSent to the recipient; a notification email is dispatched automatically
PaidPayment has been recorded; the invoice is closed
OverduePast the due date and not yet paid — set manually
Amendment RequiredThe recipient has flagged the invoice for correction
There is no automatic overdue detection or payment reminder system. Overdue follow-up is handled manually — you can see the due date on each invoice card and update the status yourself.

Changing an invoice status

Open any invoice card to see the available status actions. Depending on the current status you can move it to Sent, Paid, Overdue, or Amendment Required.

When you set an invoice to Sent, RosterRoyalties locks in your sender details (name, email, bank details) as a snapshot on the record and sends a notification email to the recipient. When you set it to Paid, the invoice total is reflected in the Paid tile on the Invoices summary.

If an invoice was created from a PO balance and is later deleted, the corresponding PO balance is automatically reversed.

Exporting invoices

Click Export to download the currently filtered invoice list as a CSV. The export includes invoice number, recipient, sender, amount, currency, status, due date, and created date. You can filter by tab and status before exporting to get a specific subset.
