Format & Distribution

Once a statement is in Processed status, you can deliver it to the artist. RosterRoyalties supports sending by email, making it available in the artist portal, or downloading the PDF to send manually.

Distribution methods

  • Email — RosterRoyalties sends the statement PDF to the artist's registered email address
  • Artist portal — the statement appears automatically in the artist's portal once it is Processed
  • PDF download — download the PDF and send it yourself via any channel

Sending by email

  1. Open the statement and confirm it is in Processed status.
  2. Click Send by Email.
  3. The recipient address is taken from the artist's contact record — confirm it is correct.
  4. Optionally edit the email subject and body before sending.
  5. Click Send. The artist receives the statement PDF as an attachment.

There is no scheduled delivery or bulk send queue — each statement is sent individually from its detail page.

Email template

The email body uses a default template with the artist's name and statement period filled in automatically. You can edit the subject and body on a per-statement basis.

Artist portal delivery

Artists with portal access can view their statements at any time — no manual send required. Once a statement is set to Processed, it appears immediately in the artist's portal under My Statements. Artists can download the PDF directly. To grant portal access, invite the artist from their profile or from the Track Splits view.

Downloading the PDF

Click Download PDF on any statement to save a local copy — useful for filing, manual delivery, or sharing via another channel. Once a statement is marked as Paid, both you and the artist can still download the PDF at any time; statements are never archived or removed.

Branding your statements

To add your logo and label name to all statement PDFs:

  1. Go to Settings → Branding.
  2. Upload your logo (PNG or JPG).
  3. Enter your company or label name.
  4. Optionally add payment instructions that appear at the bottom of every statement.

Branding changes apply to all new PDFs generated after saving. Existing downloaded PDFs are not retroactively updated. There is one branding set per account — separate branding per label imprint is not currently supported.

The statement PDF layout is fixed — there is no template editor or drag-and-drop builder. Column order and section structure cannot be reordered. See White-Label for custom domain and broader branding options.
