Account Setup
After signing up, configure your label and billing details before uploading royalty data. This page covers the key setup steps for Host accounts.
Label settings
Go to Label Settings in the Host Tools section of the sidebar. This page (powered by LabelDefaults) stores the defaults applied to every statement and purchase order you create. Fill in:
- Label name — shown on statement PDFs and artist portal headers.
- Label logo — upload a PNG or JPG. Appears on all statement PDFs and the artist portal header. Recommended minimum width: 200px.
- Company address — used on invoice and statement footers.
- Company phone and website — displayed on invoice PDFs.
- Payment terms — the default payment terms applied to new invoices (e.g., Net 30). Options are
net_30,net_60,net_90. - Distribution fee percentage— your label's default distribution fee applied during statement generation.
ℹ Label Settings availability
The Label Settings page is available on Basic Plus and above. Basic plan accounts can still set a label name and logo from the Labels management page.Branding & logos
Your label logo and name are the primary branding elements. Once set in Label Settings, they automatically apply to:
- Statement PDF headers
- Invoice PDF headers
- Artist portal header (replacing RosterRoyalties' default logo)
- Email notification sender display name

Purchase order defaults
Also in Label Settings, configure the defaults for purchase orders (POs):
- PO number prefix — prepended to all auto-generated PO numbers (e.g.,
PO-producesPO-001). - PO number format — sequential (auto-incremented counter) is the default.
- PO counter — the starting number for sequential PO numbering.
- Auto-generate PO — when enabled, a PO is automatically created for new freelancers added via the HostArtists page.
- Invoice auto-create — when enabled, an invoice draft is automatically created when a PO is signed.
Billing & plan
Your current subscription is visible in the Upgrade section of the sidebar (for plans without a subscription) or via the Payment Receipts page in Host Tools. You can upgrade your plan by clicking Upgrade in the sidebar, which opens the RosterRoyalties pricing page and routes through Stripe Checkout.

White-label settings
The White Label Settings page (accessible via your account once on an Enterprise plan) lets you configure advanced branding options beyond the label logo:
- Company name and website
- Primary, secondary, accent, and background colours (hex values)
- Custom email domain and sender name
- Custom domain (for the artist portal)
- Toggle notification emails: statement, invoice, and contract emails
- Custom Terms and Privacy policy URLs
- Footer text (shown at the bottom of all communications)
ℹ White Label vs Label branding
Label Settings controls the logo and name used on documents and emails for a specific label. White Label Settingsis an account-wide overlay that replaces RosterRoyalties' brand entirely with your own — including colours, domain, and email sender.
