This guide walks you through getting RosterRoyalties set up for the first time — from signup to sending your first artist statement.

Prerequisites

You need a RosterRoyalties account. Sign up at app.rosterroyalties.com — a 7-day free trial is included, credit card required, cancel at any time.

1. Create your account

Sign up at app.rosterroyalties.com. After email verification, the onboarding wizard launches automatically. You will be asked to select your user type:

  • Host — you run a label, publisher, distributor, or management company
  • Artist — you are an artist who has been invited to the platform
  • Freelancer — you have received a Purchase Order from a Host

Select Host to follow this guide. The onboarding wizard will walk you through setting up your first label and profile.

2. Set up your label & profile

After selecting Host, you will be prompted to complete your Host Profile Setup. This includes:

  • Business name and address
  • Your label name and logo (used on all statements and artist portals)
  • Base currency (GBP, USD, EUR, etc.)
  • Bank details for payment instructions shown on statements

You can create multiple labels — useful if you run several imprints or represent multiple clients. Labels are managed from Labels in the main navigation.

3. Add artists

Navigate to Artists and click Add Artist. At minimum you need the artist's name and email address. You can also add:

  • Bank/payment details
  • Split percentage (their royalty rate)
  • Recoupable advance balance (if you have advanced them money)
  • Label assignment

Once added, invite the artist to their portal by clicking Invite to Portalon their profile. They will receive an email with login instructions.

Bulk splits upload

If you have many artists and tracks, use the Bulk Splits Upload to import track-level split percentages from a CSV with columns: title, artist, isrc, split_percentage.

4. Upload your royalty data

Go to Track Splits or use the Statement Onboarding Wizard(which auto-launches for new accounts) to upload your first CSV file. Export your royalty data from your DSP or distributor, make sure it includes track title, artist name, and royalty amounts, then upload it directly — RosterRoyalties will match the columns automatically.

5. Generate your first statement

Navigate to Statements and click New Statement. Select the artist, set the period (e.g. Q1 2024), and click Generate. RosterRoyalties calculates the artist's payable amount using their split percentage, applies any recoupment deductions, and produces a branded PDF.

Statements have three statuses:

  • Pending — created but not yet reviewed
  • Processed — reviewed and approved by you
  • Paid — payment has been made and confirmed

Once processed, publish the statement to the artist's portal or email it directly. They can then log in, view their earnings breakdown, and raise an invoice.
